Chapter President Reimbursement

Expenses covered by National SHRM are detailed on the first link provided at the top of this page.

In addition, State Chapters that 1) participate in 80% of Council meetings each year, 2) meet the Social Media requirements, 3) keep an updated website with board members contact information and programs connected to www.wishrm.org,  and 4) submit their membership database as requested 2 times during the year will be eligible for the reimbursements below  from the State Council to their chapter for the national leadership and state conference.

Council meeting participation is counted on a rolling calendar basis, counting back 1 year from the last Wisconsin State Council meeting prior to the SHRM Leadership Conference.  Social Media requirements: Chapters must have a minimum of 2 active social media accounts where meeting notices are posted once a month; must have at least one relevant post on each by the end of August State Leadership Conference.  The choice of social media accounts can be selected by the chapter (suggested options to be Linked in, Twitter and Facebook).  The Social Media Director is able to provide education to Chapters on how to set up these accounts.

$400                 SHRM Leadership Conference: up to $400 for attendance at the SHRM National Leadership Conference for that year. This will be paid for the Chapter President or their designate to attend. Submit a reimbursement request form (available on the website) along with receipts up to $400, to the Treasurer for approval before December 31st. Reimbursement is paid from the Wisconsin Council SHRM to the chapter and not an individual.

RSVP Needed!

If you are planning to attend the SHRM Leadership Conference please RSVP to Anthony Dix at Anthony.Dix@UWMF.WISC.EDU  with your name, chapter name, cell phone number, flight information and if you will be attending the WI Council Dinner click here to view the invite. For the dinner, core council members and 1 representative from each chapter will be covered as described below. Any additional chapter members are welcome to attend, but will need to cover their own meal costs for the Thursday dinner. If you are looking for a roommate to share hotel costs, please let Anthony Dix know and he will connect those interested.

Sessions

Since costs for attendance and travel are covered it is expected that you attend the majority of applicable sessions as you can if your travel schedule allows for it. Cost reimbursement must fall within your council budget. The amount approved by the council is a flat amount so any costs you incur over will be at your expense. Exceptions to this must be pre-approved by the Council Director and/or Treasurer. You can submit for related expenses such as hotel expenses, airlines, parking fees, out of pocket food expenses (i.e. Thursday lunch) and hotel fees. Expenses need to be submitted immediately after the conference so they are accounted for on the correct budget year.  You may submit expenses if you incur them before the conference to get reimbursement if applicable (i.e. after you book your flight).

There is a specific location for WI attendees (North Central Region) to sit in the grand ballroom for all meals and general sessions.  If there is not a specified area, Wisconsin attendees will tyrpically try to sit on the far left side of the room (look at the stage in the middle, then go to the left side of the room).

Hotel

Hotel and travel information can be found at the National SHRM link above. If the primary hotel, the Crystal Gateway Marriott is booked, use the secondary hotel, Crystal City Marriott as there is an underground walkway connecting the 2 hotels. You do not need to walk outside to get to the primary hotel. The Sheraton Crystal City is a very close walk outside to get to the primary hotel.

Airlines

Whatever airline you fly, understand that the best airport to fly into is DCA (Reagan). The primary hotels have a free shuttle to and from the DCA airport for no charge. Once you get any checked bags, go outside and stand in the hotel shuttle waiting area.  Shuttles take off about every 15 minutes in a small van with the hotel logo on the side. They operate from approximately 6 am – 11 pm., but clarify with your hotel for exact times.   The airport is very close so the van ride is only about 10 minutes. If you come into either of the other airports, which are not recommended, the cab ride to the hotel can be expensive.

SHRM Headquarters

The metro will be the recommended mode of transportation to the SHRM Headquarters. The metro station connects to the hotels.  Check at the information desk right away to see if SHRM is again giving out free metro passes.

WI SHRM State Council Dinner:  Thursday, November 17, 2011

The Wisconsin dinner on Thursday night is paid for by the council for WI State Council Members only (i.e. Core Council members and one representative from each Chapter; typically the President or President-Elect). Other Wisconsin attendees from chapters and guests are absolutely welcome to attend but must cover their own meal costs. The location for 2011 is Crystal City Sports Pub. Dinner is planned to start at 7:00 pm. Meet in the hotel lobby at 6:30 p.m. if you would like to walk to Crystal City Sports Pub with your follow WI SHRM colleagues..

Crystal City Sports Pub is located at:

529 23rd Street South
Arlington, Virginia 22202

Networking

If there is a specific location for the WI region to sit in the grand ballroom for all attendee meals and sessions, typically Wisconsin attendees will sit in this area. If there is not a specified area Wisconsin attendees will typically try to sit on the far left side of the room (look at the stage in the middle, then go to the left side of the room).

Capital Hill Visit

Please see the schedule of events for the leadership conference which includes this exciting opportunity for a Capital Hill Visit. Past attendees rated this as a really great event. Hill-goers will have the opportunity to discuss HR issues with the legislators. If you sign up to attend, information will be sent to you in advance to brief you on the current legislative issues to prepare you for your hill visit. Anthony Dix, District Director, has attended this in the past and can answer additional questions based on his past experience. Anthony.dix@UWMF.WISC.EDU
